Position Description
Supporting a globally connected executive who splits her time between Auckland and Chicago, you'll operate at the heart of a strategically important function, coordinating across time zones, connecting stakeholders and ensuring priorities are delivered. This is a highly visible role where you'll build strong relationships, manage competing priorities with confidence and bring structure, pace and professionalism to a complex environment.
What you'll be doing
- Provide proactive executive support, managing complex calendars, inboxes, travel and priorities across multiple time zones
- Coordinate leadership meetings, agendas, papers, actions and follow-up activities
- Support leadership team rhythms, planning cycles, communications and events
- Build strong relationships with internal and external stakeholders, acting as a trusted point of contact
- Ensure governance and meeting processes run smoothly and efficiently
- Manage confidential information with professionalism and discretion
- Support administrative and operational activities that enable team effectiveness
- Identify opportunities to improve processes and simplify ways of working

You're a highly organised and proactive Executive Assistant who thrives in a fast-paced environment. You have a natural ability to anticipate needs, manage competing priorities and build trusted relationships with senior leaders and stakeholders. Comfortable working across geographies and time zones, you're able to bring order to complexity while maintaining a high level of professionalism and discretion.
You'll bring:
- Experience providing executive or senior-level administrative support in a complex organisation
- Exceptional organisational and prioritisation skills
- Strong written and verbal communication capabilities
- Experience coordinating meetings, governance processes and leadership activities
- The ability to manage confidential and sensitive information with discretion
- Strong stakeholder management and relationship-building skills
- Experience supporting geographically dispersed teams or senior leaders operating globally is desirable
